What is B2B appointment setting?
It is outsourced prospecting: trained callers contact your target companies on your behalf, qualify them against your criteria, and book a meeting between the decision-maker and your salesperson. You get a calendar of qualified conversations instead of a list of names.
Are your appointment setters based in the US?
Yes. Every caller on your campaign is 100% US-based, working from our offices in Boise, Idaho and Salida, California. No offshore call centers and no scripts read by someone your prospect cannot understand.
How much does outsourced appointment setting cost?
Campaigns are quoted at a flat hourly rate based on your industry, territory, and how many calling hours per week you want. Scripts, list building, training, reporting, and your account manager are all included – there are no separate setup or hidden fees. Call 888-884-3219 for a custom quote.
Do I have to sign a long-term contract?
No. We bill weekly and work month to month. Most clients start with a short pilot program so they can judge the results before committing to a larger campaign.
What counts as a qualified appointment?
You define it. Before we dial, we agree on the qualification criteria – company size, decision-maker title, budget authority, timeframe. If a prospect does not meet those criteria, we do not book the meeting.
How quickly can a campaign start?
Most campaigns launch within one to two weeks of kickoff. That covers list building, script development, and agent training before the first dial is placed.
Will I know what happened on the calls?
Yes. You receive daily and weekly reporting with complete call logs and appointment notes, and recordings are available on request. Nothing about the campaign is a black box.
Can you set appointments and generate leads at the same time?
Yes. Many clients combine appointment setting with lead generation or add AI speed-to-lead follow-up so that inbound inquiries get contacted within seconds while our team keeps the outbound calendar full.
How do outsourced appointment setters get past the gatekeeper?
Experience and a reason to be transferred. Our callers are US-based B2B specialists who have worked these titles for years, so they open with the business reason for the call instead of a pitch. Where a direct dial exists we use it, and where it does not we treat the gatekeeper as a decision influencer rather than an obstacle.
What happens to prospects who are interested but not ready?
They are logged with the reason and a callback date, and we work that follow-up queue as part of the program. A large share of booked meetings in any campaign come from the second or third conversation, not the first, which is exactly the follow-up an in-house rep never gets around to.
Do you use our CRM and calendar?
Yes. Appointments are booked directly into your calendar and activity is logged in your CRM where access allows, so your reps see the meeting and the notes without a handoff step. If you would rather we work in our system, we hand the data back in whatever format you need.
How many appointments should I expect per week?
It depends on your industry, title targeting and offer, so we will not quote a number before we see your list and market. What we will do is give you a realistic range based on comparable campaigns and then report against it weekly so you can judge the program on evidence.
Can you cover a specific territory or state list?
Yes. Campaigns are commonly built around a state, a metro area, a franchise territory or a named account list. We build to the geography and criteria you give us, and we suppress anything you tell us not to call.
Are the calls compliant?
We call business-to-business, scrub against do-not-call requests, honor opt-outs immediately, and keep records of every dial. Any restrictions specific to your industry are built into the script before the first call.
Appointments That Turned Into Revenue
The point of an appointment is what happens after it.
“Do you realize that you made an appointment with the largest apartment developer for me? I am now signed up and about to close a $250,000 roof job and take over maintenance for their northern California properties. You have made me a player.”
“Whitney Mason has done a FANTASTIC job setting up appointments for us! She is very friendly to the prospects and extremely detailed in her notes. She has been wonderful to work with! Keep up the great work!”
“TG has begun producing leads for me where there was no action before. I had another guy doing freelance telemarketing and the difference is leaps and bounds. Plus it frees up my time to get back to running my business.”
How Appointment Setting Pricing Works
We charge for calling hours, not per appointment. Here is why that matters and what it costs you in practice.
Most outsourced appointment setting companies price one of two ways: per appointment, or per calling hour. Per-appointment pricing sounds safer, and it is the reason so many programs deliver meetings that never should have been booked. When the vendor only gets paid for a booked slot, the incentive is volume, and your salespeople end up sitting in front of prospects who have no budget and no timeframe.
We bill a flat hourly rate for a dedicated US-based caller working your list. You know the weekly cost before a single dial goes out, and the callers are free to disqualify a bad fit instead of forcing it onto your calendar. Everything needed to run the campaign is in that rate: list building, script writing, agent training, call recording, your dedicated account manager, and the daily and weekly reporting.
What sets the rate
- Industry and title. Reaching a facilities manager is not the same job as reaching a CFO, and the rate reflects the difficulty of the conversation.
- Weekly hours. More hours per week lowers the effective rate, because the program is more efficient for our team to staff and manage.
- Territory and list quality. If you bring a clean list, we spend our hours calling. If we have to build it, that is part of the program too.
There are no setup fees, no minimum appointment commitments, and no long-term contract. We bill weekly and work month to month. Call 888-884-3219 or request a quote and we will give you an honest hourly number and a realistic appointment range for your market.
Outsourced Appointment Setters vs. an In-House SDR
The same work, costed honestly. An in-house seat is rarely one line item.
| In-house SDR | TG Marketing USA | |
|---|---|---|
| Time to first dial | 4 to 10 weeks to hire, onboard and train | 1 to 2 weeks from kickoff |
| Real cost | Salary plus payroll taxes, benefits, dialer, data, management time | One flat hourly rate, everything included |
| Script and list | You build and maintain both | Built, tested and tuned by us |
| Coverage when they quit | Program stops until you rehire | We backfill the seat, program continues |
| Scaling up or down | Hiring or layoffs | Change the weekly hours |
| Management | Your sales leader’s time | Dedicated account manager included |
| Commitment | Annual salary | Month to month, billed weekly |
When appointment setting is the wrong tool
We will tell you when it is. If your average deal size cannot support a salesperson sitting in a meeting, a booked appointment is the expensive answer and a qualified lead handoff is the cheaper one. If your problem is not new prospects but old ones going quiet, database reactivation pulls more revenue out of the list you already own. If inbound calls are going to voicemail while you chase outbound, fix the inbound side first. We would rather quote you the right program than the biggest one.
